Please read these Website Terms & Conditions carefully before using bibiexpo.com. By using the Website, you agree to these Terms. If you do not agree to them, please do not use the Website.
1. Who we are
bibiexpo.com (the “Website”) is operated by BIBI COLLECTIVE LTD (“BIBI”, “we”, “us” or “our”). BIBI Expo is a business and community platform created to connect, champion and elevate South Asian women of every background through business, innovation, visibility, opportunity and meaningful connection.

2. What these Terms cover
These Terms govern your access to and use of the Website, including its pages, articles, directories, forms, downloads and other general online content.
Some parts of BIBI Expo are governed by additional terms. These may include ticket purchases, exhibitor bookings, sponsorship arrangements, competitions, applications and initiatives such as My First Stand and BIBI Big Pitch. Where additional terms apply, they will be identified at the relevant point. If there is a conflict, the specific terms will take priority for that particular transaction, application or activity.
Our Privacy Policy and Cookie Policy explain how we use personal data and cookies. They form separate notices and should be read alongside these Terms where relevant.
3. Using the Website
You may use the Website for lawful personal or business purposes connected with learning about, engaging with or participating in BIBI Expo and its related activities.
You must not:
- use the Website in a way that breaches applicable law or regulation;
- attempt to gain unauthorised access to the Website, its servers, databases, accounts or security systems;
- introduce viruses, malware, malicious code or other harmful material;
- interfere with, damage, overload or disrupt the Website or another user’s access to it;
- use automated tools to scrape, harvest or extract substantial amounts of Website content or personal data without our prior written permission, except where applicable law expressly permits this;
- impersonate another person or organisation, submit information fraudulently, or deliberately provide materially false or misleading information;
- use Website content in a way that infringes BIBI’s or another person’s intellectual property or other legal rights; or
- use the Website to harass, threaten, discriminate against or unlawfully target another person.
4. Website availability
We aim to keep the Website accessible and functioning properly, but we do not guarantee that it will always be available, uninterrupted, secure or free from errors.
We may suspend, withdraw, restrict or change all or part of the Website where reasonably necessary for maintenance, security, legal, technical, operational or business reasons. Where a material planned change affects an active paid service or application process, we will take reasonable steps to minimise disruption and communicate relevant information where practicable.
5. Information on the Website
We take reasonable care to keep Website information accurate and up to date. However, general Website content is provided for information only and may change.
Event programmes, speakers, exhibitors, partners, sponsors, timings, zones, features, prices, availability and other event details may change as plans develop. Where you purchase a ticket, stand or other service, the specific terms applying to that purchase will govern your contractual rights.
Website content is not intended to amount to legal, financial, investment, tax, medical or other professional advice. You should obtain appropriate independent advice before acting on information where professional advice is required.
6. BIBI Big Pitch and investment-related content
The Website may contain information about BIBI Big Pitch, participating businesses, investors, funders or other business opportunities. Unless expressly stated otherwise, this information is provided to describe BIBI’s event activities and is not financial or investment advice, a recommendation by BIBI, or a guarantee of investment or commercial success.
Any investment or funding discussions arising from BIBI Big Pitch are subject to the initiative-specific terms and, where applicable, separate due diligence, regulatory requirements and legal documentation.
7. Intellectual property
Unless otherwise stated, BIBI owns or is licensed to use the intellectual property rights in the Website and its original content, including its design, text, graphics, logos, brand assets, photographs, videos and other materials.
You may view the Website, print or download reasonable extracts for your own personal or internal business reference, and share links to publicly available pages.
You must not reproduce, republish, distribute, sell, commercially exploit, adapt or create substantial derivative materials from BIBI-owned Website content without our prior written permission, except where applicable law allows you to do so.
Nothing in these Terms transfers ownership of BIBI’s names, logos, trade marks, designs or other intellectual property to you.
8. Content belonging to others
The Website may feature content, names, logos, images, videos or materials belonging to speakers, exhibitors, sponsors, partners, applicants, media organisations or other third parties. Their rights remain their own. Inclusion on the Website does not give you permission to reproduce or commercially use third-party material.
9. Content you submit to us
If you submit information or materials through the Website, you confirm that you are entitled to provide them and that doing so does not knowingly infringe another person’s rights or the law.
Submitting material through a general enquiry or contact form does not transfer ownership of your intellectual property to BIBI.
Where you apply for an initiative, submit an exhibitor profile, enter a competition, provide promotional material or otherwise submit content for publication or event use, additional terms or permissions may apply. These will be stated in the relevant form, agreement or specific terms.
10. Reviews, comments and interactive features
If the Website allows users to post reviews, comments or other public content, you must ensure that your contribution is lawful, genuine, relevant and not misleading, defamatory, abusive, discriminatory, threatening, obscene, fraudulent or infringing.
We may moderate or remove public content where we reasonably believe it breaches these standards, the law or another person’s rights. We will not require or encourage fake reviews or misleading endorsements.
11. Links to other websites
The Website may contain links to third-party websites or services. These links are provided for convenience or information. Unless we expressly state otherwise, BIBI does not control those websites and is not responsible for their content, availability, security, privacy practices or terms.
A link does not necessarily mean that BIBI endorses the third party, its views, products or services.
12. Linking to BIBI
You may link to a publicly available page of the Website in a fair and lawful way that does not damage BIBI’s reputation or falsely suggest an association, approval, sponsorship or endorsement.
You must not frame the Website on another website or use BIBI’s logo or branding as a link without permission where that use would imply an official relationship. We may ask you to remove a link that is misleading, unlawful or materially harmful.
13. Tickets, stands, sponsorships and other purchases
These Website Terms do not by themselves set the contractual terms for buying tickets, exhibition stands, sponsorship packages or other paid products or services. The applicable purchase, exhibitor, sponsorship or booking terms will be provided or identified before or when the relevant agreement is made.
Nothing in these Website Terms limits statutory rights that cannot lawfully be excluded.
14. Privacy and cookies
When you provide personal information through the Website, BIBI will process it in accordance with applicable UK data-protection law and our Privacy Policy.
The Website may use cookies and similar technologies. Our Cookie Policy explains what we use, why we use it and how you can manage your choices. Where consent is required for non-essential cookies or similar technologies, those technologies should not be used until the appropriate choice has been made.
15. Security
You are responsible for using appropriate security measures on your own devices and internet connection. You should not misuse the Website or attempt to circumvent its security.
If we become aware of a security issue materially affecting the Website or users, we may take steps including restricting access, resetting functionality or contacting affected users where required or appropriate.
16. Our responsibility to you
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.
If you use the Website as a consumer, we are responsible for losses that are a foreseeable result of our breach of these Terms or our failure to use reasonable care and skill, subject to applicable law. We are not responsible for losses that were not reasonably foreseeable or that result from your own breach or misuse of the Website.
If you use the Website wholly or mainly for business purposes, then, subject to liabilities that cannot lawfully be excluded, BIBI will not be liable for indirect or consequential loss, loss of profit, revenue, business, anticipated savings, goodwill or business opportunity arising solely from your use of, or inability to use, the general Website.
Any liability relating to a paid ticket, stand, sponsorship, initiative or other contracted service will also be governed by the specific terms applying to that service.
17. Viruses and harmful material
Although we take reasonable measures to operate the Website securely, we cannot guarantee that it will be completely free from viruses or other harmful material. You should use appropriate protection on your devices.
You must not knowingly introduce harmful code, attack the Website, attempt a denial-of-service attack or otherwise interfere with its technical operation.
18. Changes to these Terms
We may update these Terms from time to time to reflect changes to the Website, our operations or applicable law. The latest version will be published on the Website with an updated revision date.
Changes to these general Website Terms will not be used to retrospectively remove contractual rights arising from a separate purchase or agreement.
19. Children and young people
The Website is principally aimed at adults and people engaging with BIBI for business, professional, educational or event-related purposes. If a particular BIBI programme is open to people under 18, the relevant programme terms will explain any additional consent or safeguarding requirements.
If you are under 18, you should involve a parent, guardian or responsible adult before submitting personal information, making a purchase or applying for an activity where appropriate.
20. Accessibility
BIBI aims to make its Website and event information accessible to as many people as reasonably possible. If you experience an accessibility issue or require information in an alternative format, please contact hello@bibiexpo.com and we will consider reasonable ways to assist.
21. Governing law and jurisdiction
These Terms are governed by the law of England and Wales.
If you use the Website for business purposes, the courts of England and Wales will have exclusive jurisdiction over disputes arising from these Terms.
If you are a consumer, you may have the right under applicable law to bring proceedings in the part of the United Kingdom where you live. Nothing in these Terms removes any mandatory consumer rights.
22. General
If any provision of these Terms is found to be unlawful or unenforceable, the remaining provisions will continue in effect.
A delay by BIBI in enforcing a right under these Terms does not mean that BIBI has waived that right.
Unless expressly stated otherwise, no person other than you and BIBI has a right to enforce these Terms under the Contracts (Rights of Third Parties) Act 1999.

These Exhibitor Terms & Conditions govern bookings for exhibition stands, showcase spaces and related exhibitor packages at BIBI Expo 2027. They should be read with the exhibitor booking form/order confirmation, package description, Exhibitor Manual and applicable Olympia London rules. By accepting an exhibitor booking or paying an invoice, the Exhibitor agrees to these Terms.
1. Definitions
In these Terms:
- “BIBI”, “we”, “us” or “our” means BIBI COLLECTIVE LTD, the organiser of BIBI Expo.
- “Event” means BIBI Expo 2027, scheduled for 18–19 August 2027 at Olympia London.
- “Exhibitor” or “you” means the business, organisation or individual named in the accepted booking or order confirmation.
- “Stand” means the exhibition stand, table, pod, showcase area or other space allocated to the Exhibitor.
- “Booking” means the accepted order for a Stand and any related package, add-ons or services.
- “Exhibitor Manual” means operational information, deadlines, technical requirements and event rules issued by BIBI and/or the Venue.
- “Venue” means Olympia London and, where relevant, its operator and authorised contractors.
2. The Contract
A request, application or booking form does not by itself guarantee exhibition space. A binding contract is formed when BIBI accepts the booking in writing, issues an order confirmation or invoice on the basis of an accepted booking, or otherwise confirms the Exhibitor’s place in writing.
The contract consists of these Terms together with the accepted booking/order confirmation, the relevant package description and any written special terms expressly agreed by BIBI. The Exhibitor Manual and Venue rules apply to operational and safety matters.
If there is a conflict, expressly agreed special terms and the accepted order confirmation take priority for the matter they specifically address, followed by these Terms. Operational Venue requirements take priority where necessary for law, licensing, health and safety or Venue operation.
3. Exhibitor eligibility and approval
BIBI curates the Event and may assess whether a proposed exhibitor, brand, product or service is suitable for the Event, the relevant zone and the audience before accepting a booking.
An Exhibitor must provide accurate information about its business and the products or services it intends to display, demonstrate, promote or sell. BIBI may reasonably refuse an application before acceptance where the proposed offering is unlawful, unsafe, materially misleading, inconsistent with the published purpose of the relevant zone, or otherwise unsuitable for the Event.
Acceptance of an Exhibitor does not amount to an endorsement or guarantee by BIBI of the Exhibitor, its products, services or claims.
4. Stand packages and what is included
The Stand size, location, furniture, shell scheme, power, branding, passes, digital listing, marketing benefits and other inclusions are only those expressly stated in the relevant package description or order confirmation.
Anything not expressly included is the Exhibitor’s responsibility and may incur an additional charge.
Images, floor plans and visual representations used before the Event are illustrative unless expressly stated to be final. Minor differences in dimensions, sightlines, neighbouring exhibitors, structures or Venue infrastructure may occur.
5. Stand allocation and location
BIBI will allocate stands and zones taking account of the Event layout, exhibitor mix, operational requirements and the package purchased.
Unless BIBI expressly guarantees a specific numbered Stand in writing, stand positions are not guaranteed. BIBI may make reasonable changes to the floor plan, Stand number, orientation or location where required for safety, Venue operations, exhibitor curation or effective Event delivery.
If BIBI needs to make a material change that significantly reduces the principal commercial benefit of the package purchased, we will discuss a reasonable alternative or adjustment with the Exhibitor.
6. Prices, VAT, invoices and payment
The price of the Booking, applicable VAT and any additional agreed charges will be shown on the quotation, booking confirmation or invoice.
Payment must be made in accordance with the payment schedule and due dates stated on the invoice or booking confirmation. Unless a different schedule is expressly agreed in writing, all sums must be paid in full before the Exhibitor is permitted to occupy its Stand.
If an amount is overdue, BIBI may issue a reminder, suspend non-essential package benefits, withhold exhibitor passes or access, and ultimately cancel the Booking after giving reasonable notice and an opportunity to remedy the non-payment.
BIBI may charge interest and reasonable debt-recovery costs where permitted by applicable law and the contract.
The Exhibitor may not withhold or set off payment against another claim unless required by law or agreed by BIBI in writing.
7. Exhibitor cancellation
Exhibition space is reserved specifically for the Exhibitor and BIBI may incur costs and lose the opportunity to sell that space to another business. If the Exhibitor wishes to cancel, it must notify BIBI in writing.
Any cancellation charge must represent a reasonable allocation of BIBI’s committed costs and likely loss, taking account of the timing of cancellation and BIBI’s ability to resell the Stand.
Unless a different cancellation schedule is stated in the accepted booking, BIBI proposes the following commercial cancellation schedule:
- more than 180 days before the Event: 25% of the total Booking price;
- 91–180 days before the Event: 50% of the total Booking price;
- 31–90 days before the Event: 75% of the total Booking price; and
- 30 days or fewer before the Event, or failure to attend: 100% of the total Booking price.
If BIBI successfully resells substantially the same Stand after a cancellation, BIBI will take the resale into account when assessing its actual loss and will not seek to recover the same loss twice. Any non-recoverable third-party costs specifically incurred for the Exhibitor may still be payable.
This section is intended for business-to-business exhibitor bookings. If an individual contracts in circumstances where mandatory consumer rights apply, those rights are not excluded.
8. Cancellation or postponement by BIBI
8.1 Cancellation without replacement
If BIBI cancels the Event and does not provide a rescheduled or substantially equivalent replacement event, BIBI will refund amounts paid for the unprovided Stand and exhibitor package, less only any element already separately and fully delivered where it has an identifiable value and the contract permits that treatment.
Subject to section 27 and applicable law, BIBI will not be responsible for the Exhibitor’s separate travel, accommodation, staffing, stock, production, freight, marketing or other consequential costs merely because the Event is cancelled.
8.2 Postponement
If the Event is postponed, the Booking will normally transfer to the rescheduled dates. BIBI will communicate the new arrangements as soon as reasonably practicable.
If the rescheduled date represents a material change and the Exhibitor cannot reasonably participate, BIBI will discuss an appropriate commercial solution, taking account of services already delivered, committed costs that cannot reasonably be recovered, the circumstances of the postponement and applicable law.
8.3 Relocation or format change
BIBI may relocate the Event to a reasonably comparable venue where the planned Venue becomes unavailable or a change is reasonably necessary.
BIBI will not treat a move from the physical Event to an online-only event as automatically equivalent to an exhibition Stand. If a material format change becomes necessary, BIBI will discuss appropriate alternatives or financial adjustments with affected Exhibitors.
9. Circumstances beyond reasonable control
BIBI will not be in breach for delay or failure caused by circumstances outside its reasonable control, which may include severe weather, fire, flood, epidemic or pandemic, war, terrorism, civil unrest, government or regulatory action, transport disruption, Venue closure, utility or major technology failure, industrial action, national mourning, security incidents or comparable events.
BIBI will use reasonable efforts to mitigate the effect, communicate material changes and consider practicable alternatives. This clause does not permit BIBI to charge for substantial services it does not ultimately provide where the contract or applicable law requires an adjustment or refund.
10. Exhibitor responsibilities
The Exhibitor is responsible for its own business operations and for ensuring that its participation complies with applicable law, these Terms, the Exhibitor Manual and Venue rules.
The Exhibitor must:
- ensure its Stand is appropriately staffed during required opening hours;
- complete setup and breakdown within the published access times;
- keep the Stand reasonably clean, safe and presentable;
- ensure staff and contractors behave professionally and respectfully;
- comply with fire, health and safety, security, accessibility, electrical and Venue requirements;
- obtain licences, registrations, approvals or permissions required for its activities, products or services;
- ensure statements, claims, prices, promotions and demonstrations are lawful and not misleading; and
- promptly follow reasonable instructions from BIBI, the Venue, security or authorised event contractors.
11. Products, services and sales
Unless the relevant package or zone states otherwise, Exhibitors may promote and, where permitted, sell appropriate products or services from their Stand, subject to applicable law and Venue rules.
The Exhibitor is solely responsible for its sales to customers, including pricing, receipts, taxes, product safety, consumer rights, refunds, warranties, product information and fulfilment.
Products and services must be lawful and suitable for the Event. BIBI may require an Exhibitor to stop displaying, demonstrating or selling an item where there are reasonable grounds to believe it is unlawful, unsafe, counterfeit, materially misleading, prohibited by the Venue or inconsistent with an expressly published restriction for the relevant zone.
BIBI is not a party to transactions between an Exhibitor and an attendee unless expressly stated otherwise.
12. Food, drink, cosmetics and regulated products
Exhibitors offering food, drink, cosmetics, beauty treatments, health-related products or other regulated goods or services are responsible for all applicable registrations, licences, labelling, hygiene, allergen, product-safety and regulatory requirements.
Food businesses must provide legally required allergen and ingredient information and comply with applicable food-hygiene requirements. Sampling, preparation, heating or sale of food and drink may require prior approval from BIBI and the Venue.
Cosmetic, beauty or wellness exhibitors are responsible for ensuring that products, treatments and claims comply with applicable law and that any required professional qualifications, insurance, hygiene measures and informed-consent procedures are in place.
No Exhibitor may make unlawful medical, financial or other regulated claims.
13. Stand design, displays and alterations
Displays must remain within the allocated Stand footprint unless BIBI approves otherwise. The Exhibitor must not obstruct aisles, emergency routes, neighbouring stands, signage, fire equipment or Venue infrastructure.
Fixings, construction, lighting, electrical equipment, banners, screens, structures, flooring, sound equipment and other stand elements must comply with the Exhibitor Manual and Venue requirements.
The Exhibitor must not damage the Venue or BIBI-provided equipment. The Exhibitor is responsible for the reasonable cost of repairing damage caused by it, its staff or contractors, excluding fair wear and tear.
14. Electrical, technical and internet services
Electrical connections, additional power, internet, rigging, AV or other technical services may need to be ordered through BIBI, the Venue or an approved contractor.
Exhibitors must not install unauthorised electrical equipment or connections. Any equipment brought to the Event must be safe, maintained and compliant with applicable requirements.
BIBI cannot guarantee uninterrupted Wi-Fi, mobile coverage or third-party technical services. Exhibitors whose sales or demonstrations depend on connectivity should make reasonable contingency arrangements.
15. Deliveries, storage, setup and breakdown
The Exhibitor must follow the published timetable and procedures for loading, unloading, deliveries, storage, setup and breakdown.
Goods must not be delivered outside authorised arrangements or left in prohibited areas. BIBI and the Venue may refuse unsafe, late or improperly addressed deliveries.
The Exhibitor must remove its stock, equipment, packaging and waste by the stated deadline. Reasonable removal, storage, disposal or Venue charges caused by failure to do so may be charged to the Exhibitor.
16. Health, safety and risk assessments
The Exhibitor is responsible for managing risks arising from its Stand, staff, contractors, products, demonstrations and equipment.
BIBI or the Venue may require risk assessments, method statements, safety certificates, electrical documentation, food-safety information, insurance evidence or other compliance documents by stated deadlines.
Activities involving heat, flames, machinery, treatments, sampling, hazardous substances, unusual structures or other elevated risks require prior approval where specified. BIBI may stop an activity where reasonably necessary to protect safety or comply with Venue or legal requirements.
17. Insurance
Each Exhibitor must maintain insurance appropriate to its activities and risks, including public liability insurance and, where applicable, employers’ liability, product liability and professional indemnity insurance.
The minimum public liability cover, evidence requirements and any Venue-specific insurance conditions will be stated in the Exhibitor Manual or booking information after confirmation with Olympia London.
BIBI may require evidence of valid insurance before permitting setup or participation.
18. Exhibitor staff, passes and contractors
Only properly accredited staff and authorised contractors may access exhibitor areas during restricted setup, breakdown or Event periods.
Passes are personal to the authorised holder unless BIBI states otherwise and must not be misused or duplicated.
The Exhibitor is responsible for the conduct of its employees, representatives, agents and contractors and for ensuring they understand relevant Event rules.
19. Conduct, inclusion and safeguarding
BIBI is committed to a professional, welcoming and respectful environment. Harassment, intimidation, abuse, threatening behaviour, unlawful discrimination, deliberate disruption and unsafe conduct are not acceptable.
BIBI may require conduct to stop, remove an individual, or in serious cases close a Stand where reasonably necessary for safety, legal compliance or serious misconduct. Where practicable, BIBI will first give the Exhibitor an opportunity to remedy a problem unless immediate action is required.
20. Noise, promotions and activities
Music, amplified sound, demonstrations, competitions, giveaways, performances, roaming promotion, data capture and other activities must not unreasonably disrupt neighbouring stands, block aisles or interfere with Event programming.
BIBI may set reasonable volume, placement or operational limits and may require an activity to be modified or stopped if it causes material disruption or creates a safety or legal concern.
Promotional activity should normally take place within the Exhibitor’s allocated space unless BIBI has approved another arrangement.
21. Competitions and prize promotions run by Exhibitors
An Exhibitor running its own competition, prize draw or promotion is responsible for ensuring that it is lawful, fairly administered and supported by appropriate terms and privacy information.
The Exhibitor must not imply that BIBI sponsors, administers or guarantees the promotion unless BIBI has expressly agreed this in writing.
22. Data collection and privacy
If an Exhibitor collects personal data from attendees, for example through lead capture, mailing-list sign-ups, competitions, QR codes or orders, the Exhibitor is responsible for complying with applicable data-protection and electronic-marketing law in relation to that processing.
The Exhibitor must provide appropriate privacy information and obtain any consent required for electronic marketing. An attendee giving contact details for one purpose does not automatically authorise unrelated marketing.
Where BIBI provides lead data or operates a lead-capture system, the permitted use and respective data-protection roles will be explained separately. Exhibitors must not scrape attendee, exhibitor or speaker data from BIBI systems or materials for unauthorised marketing.
23. Intellectual property and branding
Each party retains ownership of its own intellectual property.
The Exhibitor grants BIBI a non-exclusive, royalty-free licence during the Booking and for reasonable post-Event reporting and promotion to use the Exhibitor’s supplied business name, logo, approved images, biography and promotional information to list, announce and promote its participation in BIBI Expo.
BIBI grants no general licence to use BIBI’s logo, trade marks or brand assets. Exhibitors may accurately state that they are exhibiting at BIBI Expo and may use any official exhibitor graphics supplied by BIBI in accordance with the accompanying brand guidance.
The Exhibitor must not imply a sponsorship, partnership or endorsement beyond the relationship actually purchased or agreed.
24. Photography, filming and publicity
Photography, filming and audio recording will take place at BIBI Expo. Stands, products and exhibitor representatives may appear in general Event coverage.
BIBI may use appropriate Event imagery and recordings for editorial, archival, reporting and promotional purposes connected with BIBI and future BIBI events, in accordance with the BIBI Privacy Policy.
Where BIBI proposes a dedicated promotional shoot, testimonial or substantial piece of content focused on a particular individual, additional information or permissions may be provided where appropriate.
The Exhibitor is responsible for obtaining necessary permissions for people or third-party materials that it independently photographs, films or publishes.
25. Confidentiality
Each party must keep genuinely confidential business information received from the other confidential and use it only for the purposes of the Booking, except where disclosure is required by law, the information is already public through no breach, or disclosure is made to professional advisers or contractors who need to know it and are subject to appropriate confidentiality obligations.
Information displayed publicly at a Stand or voluntarily disclosed to attendees cannot reasonably be treated as confidential merely because it concerns the Exhibitor’s business.
26. Security, stock and personal property
The Exhibitor remains responsible for its stock, equipment, cash, devices and other property. Exhibitors should take reasonable precautions and maintain appropriate insurance.
BIBI will take reasonable care in organising the Event but does not provide individual stand security unless expressly included in a package.
Any suspected theft, damage or security incident should be reported promptly to BIBI and Venue security.
27. Liability
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.
Subject to the paragraph above, neither party will be liable to the other for indirect or consequential loss, or for loss of profit, revenue, anticipated savings, goodwill or business opportunity, except where such loss forms part of an expressly agreed payment obligation or cannot lawfully be excluded.
BIBI is not responsible for an Exhibitor’s sales performance, visitor numbers to a particular Stand, leads, orders, publicity, investment, commercial introductions or other business outcomes. Attendance forecasts, audience profiles and marketing statements are estimates or descriptions rather than guarantees unless expressly stated otherwise in writing.
BIBI will not be liable for loss or damage caused by an Exhibitor, another exhibitor, attendee, independent supplier, Venue operator or other third party except to the extent BIBI is legally responsible for that person or loss.
Subject to liabilities that cannot lawfully be limited, BIBI’s aggregate contractual liability arising from a particular Exhibitor Booking should not exceed the total fees paid or payable to BIBI under that Booking. This proposed cap should be confirmed by BIBI’s solicitor and insurance adviser before publication.
28. Exhibitor indemnity
The Exhibitor will be responsible for losses, claims, liabilities, damages and reasonable costs suffered by BIBI to the extent they arise directly from the Exhibitor’s unlawful products or services, infringement of third-party rights, negligent acts or omissions, or material breach of these Terms by the Exhibitor, its staff or contractors.
This clause does not make the Exhibitor responsible for loss caused by BIBI’s own negligence, breach or wrongdoing, and BIBI must take reasonable steps to mitigate recoverable loss.
29. Suspension or termination by BIBI
BIBI may suspend benefits, refuse setup, close a Stand or terminate the Booking where the Exhibitor:
- fails to pay a material overdue amount after reasonable notice;
- commits a serious or repeated breach of these Terms and, where the breach can be remedied, fails to remedy it within a reasonable period;
- provides materially false or fraudulent booking information;
- engages in unlawful, unsafe, threatening or seriously disruptive conduct;
- offers unlawful, counterfeit, dangerous or materially misrepresented products or services; or
- creates an immediate safety, security or legal risk requiring action.
BIBI will act proportionately. Except where immediate action is reasonably necessary, BIBI will normally explain the concern and allow a reasonable opportunity to remedy it.
If BIBI terminates because of the Exhibitor’s material breach, the Exhibitor remains responsible for fees and losses properly due under the contract, subject to BIBI’s duty to mitigate and the prohibition on double recovery.
30. Assignment and sharing of stands
The Exhibitor may not sell, assign, sublet or share all or part of its Stand with another business without BIBI’s prior written approval.
BIBI may approve a co-exhibitor or shared stand arrangement where it is suitable for the Event and any applicable additional fee or registration requirement is met.
31. Changes to the Exhibitor’s business or offering
If there is a material change in the Exhibitor’s business name, ownership, brand, products or services between booking and the Event, the Exhibitor should notify BIBI promptly.
BIBI will not unreasonably withhold approval of a change, but may require adjustments where the new offering creates a legal, safety, zone-curation or material conflict issue.
32. Notices and communications
Operational communications may be sent to the email address provided by the Exhibitor. The Exhibitor is responsible for ensuring that BIBI has current contact details and that relevant staff receive Event information.
Formal cancellation or contractual notices should be sent to hello@bibiexpo.com unless BIBI specifies another address in the Booking.
33. Governing law and jurisdiction
These Terms and the Exhibitor Booking are governed by the law of England and Wales. The courts of England and Wales will have exclusive jurisdiction over disputes arising from the Booking, subject to any mandatory rights that apply in exceptional circumstances.
34. General
If any provision is found unlawful or unenforceable, the remaining provisions continue in effect.
A failure or delay in exercising a contractual right does not waive that right.
No person who is not a party to the Booking has a right to enforce it under the Contracts (Rights of Third Parties) Act 1999 unless the contract expressly states otherwise.
These Terms do not create a partnership, agency, employment or joint venture between BIBI and the Exhibitor.

These Ticket Terms & Conditions apply to tickets purchased for BIBI Expo 2027. Please read them before purchasing a ticket. By completing a ticket purchase, you agree to these Terms. Nothing in these Terms affects rights that you have under applicable consumer law.
1. Who we are
BIBI Expo 2027 (the “Event”) is promoted and organised by BIBI COLLECTIVE LTD (“BIBI”, “we”, “us” or “our”). The Event is scheduled to take place at Olympia London on 18–19 August 2027.
These Terms apply to the purchase and use of admission tickets for the Event. Separate terms may apply to exhibitors, sponsors, speakers, initiatives, competitions, hospitality or other products and services.
2. Buying a ticket
A ticket purchase is an offer to buy admission to the Event. Your booking is confirmed when the authorised ticket seller accepts your order and issues a booking confirmation or ticket.
Before purchase, you should be shown the main characteristics of the ticket, including the applicable Event date or dates, ticket type and total price payable. Please check your order carefully before completing payment.
You must provide accurate contact information so that we or the authorised ticketing provider can send your ticket and important Event communications.
If a ticket is purchased on behalf of another person, the purchaser is responsible for making the attendee aware of these Terms and any relevant Event information.
3. Ticket prices, fees and payment
Ticket prices and any compulsory fees or charges will be displayed before you complete your purchase. Optional extras will not be added without your active choice.
Prices may vary by ticket type, release, promotion or availability. A later change in the advertised price does not alter the price of a booking already confirmed.
Payment may be processed by an authorised third-party payment or ticketing provider. That provider may have additional terms relating to its platform or payment service, but these Ticket Terms govern BIBI’s admission arrangements unless expressly stated otherwise.
4. No general 14-day cooling-off right
Tickets for BIBI Expo are for leisure and event services taking place on specified dates. Under UK consumer law, the usual 14-day cancellation or cooling-off right for many online purchases does not generally apply to services related to leisure activities where the contract provides for a specific date or period of performance.
This does not affect any refund or cancellation rights set out below or any statutory rights that apply if BIBI cancels the Event, makes a material change, or otherwise fails to provide the contracted service as required by law.
5. If you can no longer attend
Unless the ticket description, booking page or a specific promotion expressly states otherwise, tickets are not automatically refundable merely because the purchaser or attendee can no longer attend.
However, BIBI wants the ticketing process to be fair. Where the ticketing system allows it, we may permit a ticket to be transferred to another attendee or returned through an official exchange or resale mechanism, subject to any published deadline, security requirements and reasonable administrative conditions.
Please do not assume that a name change, transfer or resale is available until the relevant process has been confirmed. Contact legal@bibiexpo.com or use the official ticketing platform for the current options.
Nothing in this section permits BIBI to retain money where applicable law requires a refund.
6. Ticket transfers and resale
Tickets may only be transferred or resold in accordance with any official process authorised by BIBI or its ticketing provider.
You must not:
- sell a ticket in the course of unauthorised commercial ticket trading;
- sell or advertise a ticket in a misleading way;
- use BIBI’s name, logo or branding to suggest that an unofficial resale is authorised or endorsed by BIBI;
- alter, duplicate, counterfeit or reproduce a ticket for fraudulent use; or
- sell a ticket as part of an unauthorised hospitality, travel, advertising, promotional or commercial package.
Where a lawful transfer is permitted, the new attendee will be bound by these Terms. BIBI may cancel a ticket obtained through fraud, counterfeiting or a materially unlawful resale arrangement, subject to applicable law.
7. Event programme, speakers and exhibitors
BIBI will take reasonable care in planning and delivering the Event. However, a large live event may require changes to speakers, panels, exhibitors, sponsors, zones, workshops, activities, timings, room allocations or the running order.
Unless a particular feature was expressly sold as the essential and principal subject of a ticket, changes to individual speakers, exhibitors, sessions or programme timings will not normally amount to cancellation of the Event.
If BIBI makes a change so significant that the Event supplied is materially different from what a ticket holder reasonably agreed to purchase, we will consider the appropriate remedy, which may include an alternative or refund where required by law.
8. Event postponement, relocation or cancellation
8.1 Cancellation by BIBI
If BIBI cancels the Event and does not provide a replacement event or substantially equivalent service, ticket holders will be entitled to a refund of the ticket price and compulsory ticket charges paid to BIBI or its authorised primary ticket seller, subject to applicable law.
We are not responsible for separate travel, accommodation, childcare or other personal arrangements except where applicable law makes us responsible for a particular loss. We strongly recommend making flexible or appropriately insured travel and accommodation arrangements where possible.
8.2 Postponement or date change
If the Event is postponed or moved to a different date, BIBI will communicate the new arrangements as soon as reasonably practicable. Tickets will normally remain valid for the rescheduled Event.
Where a new date represents a material change and a ticket holder cannot reasonably attend, BIBI will provide an appropriate cancellation/refund option where required by law or where BIBI determines it is fair to do so in the circumstances. Any claim process and deadline will be communicated with the postponement notice.
8.3 Venue or format changes
BIBI may make reasonable changes to rooms, entrances, floor plans or areas within Olympia London. If circumstances make the planned venue unavailable, BIBI may relocate the Event to a reasonably comparable venue.
BIBI will not replace the in-person Event with an online-only event and treat that as automatically equivalent if doing so would materially alter what ticket holders purchased. If a material format change becomes necessary, ticket-holder rights will be assessed fairly and in accordance with applicable law.
9. Circumstances outside our reasonable control
Events can be affected by circumstances outside an organiser’s reasonable control, including severe weather, fire, flood, epidemic or pandemic, war, terrorism, civil unrest, government or regulatory action, transport disruption, venue closure, utility failure, major technology failure, industrial action or comparable events.
If such circumstances affect BIBI Expo, we may take reasonable steps to postpone, relocate, modify or cancel the affected part of the Event. These Terms do not remove any refund or other consumer rights that arise under applicable law. We will act reasonably in determining the available options and communicate material changes as soon as practicable.
10. Admission
A valid ticket or other authorised admission credential is required for entry. Tickets may be electronic and may be checked or scanned on arrival.
Admission is subject to these Terms, the reasonable rules of Olympia London, applicable security procedures and lawful instructions from BIBI, venue or security staff.
BIBI may refuse admission or require a person to leave where there are reasonable grounds relating to:
- safety or security;
- fraudulent, duplicated, invalid or improperly obtained tickets;
- violent, threatening, abusive, harassing or seriously disruptive behaviour;
- unlawful discrimination or harassment;
- possession of prohibited or dangerous items;
- intoxication or conduct creating a material risk to the individual or others;
- serious breach of these Terms or venue rules; or
- a legal or regulatory requirement.
Where refusal or removal results from the attendee’s serious misconduct or breach, a refund will not normally be due. This does not affect rights that cannot lawfully be excluded.
11. Event conduct and BIBI values
BIBI is committed to creating a professional, welcoming and respectful environment. Attendees are expected to treat other attendees, exhibitors, speakers, staff, contractors and venue personnel with respect.
Harassment, intimidation, abuse, threatening conduct, unlawful discrimination and deliberate disruption are not acceptable. Peaceful disagreement and respectful discussion are not, by themselves, grounds for removal.
12. Security, bags and prohibited items
Attendees may be subject to reasonable security and bag checks. Prohibited-item rules may be set by Olympia London, BIBI or relevant authorities and may be updated for legitimate safety or security reasons.
Attendees should check pre-event information before travelling. Refusal to comply with reasonable security procedures may result in refusal of admission.
13. Accessibility and reasonable adjustments
BIBI wants the Event to be accessible and inclusive. If you have an accessibility requirement or need a reasonable adjustment, please contact us as early as possible at hello@bibiexpo.com so that we can consider what can reasonably be arranged with the venue and relevant suppliers.
Where BIBI offers a companion, personal-assistant or accessibility ticket scheme, the eligibility and booking process will be published separately. We will not require more sensitive information than is reasonably necessary to administer an adjustment or scheme.
Accessibility-related personal information will be handled in accordance with the BIBI Privacy Policy.
14. Children and young people
Any age restrictions, family-ticket arrangements or requirements for under-18s will be displayed on the relevant ticket page or Event information.
Where children are admitted, their parent, guardian or responsible accompanying adult remains responsible for their supervision unless BIBI expressly states that a particular activity provides supervised childcare or youth provision.
BIBI may introduce reasonable age restrictions for particular sessions, areas or activities where required by content, licensing, safeguarding, safety or another legitimate reason.
15. Photography, filming and recording
BIBI Expo is a public-facing event and photography, filming and audio recording may take place for event reporting, editorial, archival and promotional purposes.
Attendees may appear incidentally in crowd or background footage. Dedicated interviews, testimonials or promotional content focused on an identifiable individual may involve additional information or permissions where appropriate.
If you have a particular privacy, safeguarding or accessibility concern about photography or filming, please contact BIBI before the Event where possible or speak to the BIBI team at the Event. Further information is available in the BIBI Privacy Policy.
Attendees may take reasonable photographs for personal use unless signage or staff instructions restrict photography in a particular area or session. Professional filming, commercial photography, livestreaming or recording of substantial parts of talks or performances requires prior permission where BIBI or the relevant rights holder requires it.
16. Personal belongings
Attendees are responsible for their personal belongings. BIBI is not responsible for loss, theft or damage that is not caused by BIBI’s breach of legal duty or failure to exercise reasonable care.
Any cloakroom, storage or lost-property arrangements may be operated by the venue or another provider and may be subject to separate conditions.
17. Food, allergens and third-party purchases
Food, drink and other products may be sold by independent exhibitors, caterers or venue concessionaires. Those sellers are responsible for the products and services they supply and may have their own terms.
If you have an allergy or dietary requirement, you should check directly with the relevant food provider before purchasing or consuming food. BIBI will take reasonable care in selecting and coordinating event suppliers but cannot make ingredient or allergen guarantees on behalf of independent food businesses.
18. Exhibitors, speakers and third parties
BIBI provides a platform bringing together attendees, speakers, exhibitors, sponsors, partners and other organisations. Unless expressly stated otherwise, independent exhibitors, speakers and third parties are responsible for their own products, services, statements, advice and commercial dealings.
The presence of a business, speaker, sponsor or exhibitor at BIBI Expo does not by itself amount to a BIBI guarantee or endorsement of every product, claim, opinion or service associated with that person or organisation.
19. Liability
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.
If you purchase a ticket as a consumer, BIBI is responsible for losses that are a foreseeable result of our breach of contract or failure to use reasonable care and skill, subject to applicable law. We are not responsible for losses that are not reasonably foreseeable, arise from your own breach or misconduct, or are attributable to independent third parties except where BIBI is legally responsible.
BIBI does not exclude or restrict statutory consumer rights.
If a ticket is purchased wholly or mainly for business purposes, additional limitations permitted by law may apply, but nothing in these Terms excludes liability that cannot legally be excluded.
20. Data protection
BIBI and its authorised service providers will process personal data connected with ticket purchases and Event attendance in accordance with applicable data-protection law.
Please read the BIBI Privacy Policy for information about the data we collect, lawful bases, sharing, retention, photography and filming, international transfers and your rights. The BIBI Cookie Policy explains the Website’s use of cookies and similar technologies.
21. Complaints and ticketing problems
If there is a problem with your ticket or your experience of the Event, please contact BIBI as soon as reasonably possible so that we have an opportunity to investigate and, where possible, resolve it.

If the issue concerns the operation of a third-party ticketing or payment platform, you may also need to contact that provider. This does not remove any rights you have against BIBI where BIBI is legally responsible.
22. Changes to these Terms
BIBI may update these Terms for future ticket purchases where necessary to reflect changes in law, Event arrangements or ticketing processes.
The terms applying to a confirmed ticket purchase will be those provided or made available when the booking was made, together with any later change that is required by law or expressly agreed with the ticket holder. BIBI will not use a later version of these Terms to retrospectively remove material rights from an existing booking.
23. Governing law and jurisdiction
These Terms are governed by the law of England and Wales.
If you are a consumer, you may have the right under applicable law to bring proceedings in the part of the United Kingdom where you live. Nothing in these Terms removes mandatory consumer rights.
For ticket purchases made wholly or mainly for business purposes, the courts of England and Wales will have exclusive jurisdiction unless otherwise agreed in writing.
24. General
If any provision of these Terms is found to be unlawful or unenforceable, the remaining provisions will continue in effect.
A delay by BIBI in enforcing a right does not mean that the right has been waived.
Unless expressly stated otherwise, no person other than the ticket holder and BIBI has a right to enforce these Terms under the Contracts (Rights of Third Parties) Act 1999.

These Terms & Conditions govern applications to and participation in BIBI’s My First Stand and BIBI Big Pitch initiatives. By submitting an application, accepting a place, or participating in either initiative, you agree to these Terms.
1. About BIBI
BIBI Expo is a platform created to connect, champion and elevate South Asian women of every background through business, innovation, visibility, opportunity and meaningful connection.
In these Terms, “BIBI”, “we”, “us” and “our” mean BIBI COLLECTIVE LTD, the promoter and organiser of BIBI Expo.
2. Scope and priority of these Terms
These Terms apply to applicants, shortlisted participants, finalists, recipients and anyone taking part in My First Stand or BIBI Big Pitch.
They should be read alongside the BIBI Privacy Policy and any specific application form, initiative page, submission brief, judging criteria, exhibitor pack, venue rules or other written requirements issued for the relevant initiative.
If a specific initiative brief expressly differs from these Terms, the specific brief will take priority for that initiative to the extent of the difference. Any separate ticketing, exhibitor or commercial agreement will continue to apply to matters it specifically covers.
3. Eligibility
Eligibility requirements may vary between initiatives and will be stated on the relevant application page or brief. Unless BIBI states otherwise:
- applicants must satisfy the published criteria for the relevant initiative;
- all information supplied must be complete, accurate and truthful;
- an applicant acting for a business or organisation must have authority to do so; and
- participants under 18 may take part only with the prior written consent of a parent or legal guardian and BIBI’s express approval.
BIBI may reasonably request evidence of identity, age, business status, ownership, authorship or eligibility. BIBI may introduce or clarify eligibility criteria before an application deadline where reasonably necessary, provided this is communicated fairly to applicants.
4. Applications and submissions
Applications must be made through the method specified by BIBI and received by the stated deadline. Applicants are responsible for checking that their submission is complete and that they have the rights and permissions required to provide any material included in it.
BIBI may reject an application that is late, incomplete, corrupted, fraudulent, automatically generated in bulk, materially misleading, or submitted contrary to the published instructions. Where practicable, BIBI may contact an applicant to clarify minor or technical omissions, but is not obliged to do so.
5. Initiative-specific terms
5.1 My First Stand
My First Stand is designed to give selected eligible founders, businesses, creatives or brands an opportunity to showcase at BIBI Expo.
The precise stand or showcase package will be confirmed in writing to successful applicants. Unless otherwise stated:
- the opportunity may comprise a complimentary or subsidised stand, showcase space or another exhibition format selected by BIBI;
- the location, dimensions, furniture, power, branding permissions and other inclusions will be determined by BIBI and/or the venue;
- the opportunity is personal to the selected recipient and may not be sold, transferred, sub-licensed or used for another brand without BIBI’s prior written consent;
- recipients must comply with the exhibitor manual, venue rules, health and safety requirements and reasonable operational instructions; and
- BIBI may make reasonable changes to stand location, layout or format where required for event delivery, safety or venue operations.
5.2 BIBI Big Pitch
BIBI Big Pitch gives selected participants an opportunity to present a business, venture, idea, product or service to an audience and/or a panel that may include judges, business leaders, partners or potential investors.
- Selection to pitch does not guarantee investment, funding, orders, introductions, mentoring, media coverage or any other commercial outcome.
- Any investment, funding or commercial proposal is a separate matter between the relevant parties and may be subject to due diligence, eligibility checks, negotiation, independent advice and separate legal documentation.
- BIBI does not provide financial, investment, legal or tax advice and does not endorse or guarantee any investment or commercial proposal made by a third party.
- Participants are responsible for the accuracy and lawfulness of their pitch and should not make statements or financial claims that are false, misleading or unsupported.
Nothing in the BIBI Big Pitch application or event materials is intended by BIBI to constitute an invitation or inducement to the public to engage in investment activity. Where a proposed pitch, communication or investment arrangement may fall within financial-services or financial-promotion regulation, BIBI may require changes, additional checks, professional advice or other safeguards before allowing it to proceed.
6. Selection and judging
Selection and judging will be carried out by BIBI and/or an appointed panel using the criteria published for the relevant initiative. Criteria may include originality, quality, relevance, impact, innovation, feasibility, clarity, presentation, audience fit and alignment with the purpose of the initiative.
BIBI may reasonably request further information or an interview, change a judge or panel member where necessary, shortlist fewer applicants than anticipated, decide not to make an award where no suitable entry is identified, or offer a participant a different but related opportunity with that participant’s agreement.
Judging decisions are final. BIBI will, however, review a decision where there is credible evidence of an administrative error, conflict of interest, discrimination, fraud or material breach of the published process.
7. Dates, format and event changes
BIBI Expo 2027 is scheduled for 18–19 August 2027 at Olympia London. Application dates, announcement dates, pitch times and showcase arrangements will be communicated separately.
BIBI may make reasonable changes to timings, running order, venue arrangements or the format of an initiative where necessary for operational, safety, regulatory or other legitimate event reasons. Where a material change affects a selected participant, BIBI will aim to give reasonable notice and, where practicable, offer a suitable alternative.
If an event or initiative is affected by circumstances outside BIBI’s reasonable control, BIBI may postpone, relocate, move an element online or hybrid, suspend or cancel the affected element.
8. No guarantee of outcome
Applying or participating does not guarantee selection, exhibiting, publication, publicity, feedback, funding, investment, sales, introductions, future work or any other commercial result. References to visibility, growth, opportunity, support, connection or collaboration describe the purpose of the initiatives and are not promises of a particular outcome.
9. Intellectual property and permission to use submitted material
You retain ownership of intellectual property in your original submission and brand materials.
You grant BIBI a non-exclusive, royalty-free licence to copy, store and use the materials you submit only to the extent reasonably necessary to administer, assess and deliver the relevant initiative, including judging, shortlisting, event production and internal record-keeping.
If you are shortlisted or selected, you also grant BIBI a non-exclusive, royalty-free licence to use your name, business or project name, approved biography, logo, supplied photographs and reasonable excerpts or images from your submission to announce and promote your participation, BIBI Expo and post-event reporting.
This promotional licence applies worldwide because BIBI’s website, social media and media coverage may be accessible internationally. It does not transfer ownership of your intellectual property to BIBI and does not give BIBI the right to sell, license or commercially exploit your underlying product, invention, business concept or complete creative work independently of promoting or documenting BIBI and the initiative.
Where BIBI wishes to use a complete work, confidential material or submitted content for a purpose materially beyond administration, event coverage or reasonable BIBI promotion, BIBI will seek separate permission where required.
10. Editing and credits
BIBI may make reasonable technical or editorial changes to promotional material, such as cropping, resizing, captioning, subtitling, shortening a biography or extracting a short quotation, provided the participant or their work is not materially misrepresented.
BIBI will use reasonable efforts to credit participants where a credit is appropriate, although the form and placement of credits may vary by platform and format.
11. Applicant warranties
By applying and participating, you confirm that:
- the information you provide is truthful and not materially misleading;
- you own or have permission to use and submit the material provided;
- you have obtained necessary permissions from relevant collaborators, photographers, performers, co-authors and other contributors;
- your submission does not knowingly infringe another person’s intellectual property, privacy or other legal rights;
- your submission and participation comply with applicable law; and
- business, product, financial, testimonial, impact and performance claims you make are supportable and not deceptive.
12. Withdrawal, rejection and disqualification
BIBI may reject or disqualify an applicant or withdraw a place where there are reasonable grounds to believe that the applicant:
- does not meet the eligibility requirements;
- has provided materially false or misleading information;
- has plagiarised, infringed third-party rights, manipulated the process or acted fraudulently;
- has failed to provide required information, permissions or confirmations by a reasonable deadline;
- has materially breached these Terms, applicable event rules or the law; or
- has engaged in conduct that creates a genuine safety, legal, harassment, discrimination or serious event-integrity concern.
Where the circumstances permit, BIBI will normally tell the participant the reason and give them an opportunity to respond before a place is withdrawn. Immediate action may be taken where reasonably necessary to protect people, the event, legal compliance or venue safety.
If a selected participant withdraws or becomes unavailable, BIBI may offer the place to another eligible applicant or leave it unfilled.
13. Conduct and event participation
Participants must behave professionally and respectfully and comply with reasonable venue, security, safeguarding, accessibility, health and safety, technical, staging, accreditation, setup and timing requirements.
Harassment, intimidation, abuse, unlawful discrimination, threatening behaviour, deliberate disruption and unsafe conduct will not be tolerated. BIBI may refuse admission or remove a participant where reasonably necessary for safety, legal compliance or serious misconduct.
14. Costs and expenses
Unless BIBI expressly agrees otherwise in writing, applicants and participants are responsible for their own travel, accommodation, visas, insurance, shipping, printing, production, equipment, staffing, stand dressing and other incidental costs. Any financial or in-kind support from BIBI is limited to what BIBI specifically confirms in writing.
15. Prizes, awards, investment and other benefits
The precise benefit attached to an initiative will be stated in the relevant brief or communicated to the successful participant. Unless expressly stated otherwise, benefits are non-transferable and there is no cash alternative.
BIBI may substitute a non-cash benefit only where reasonably necessary and, where possible, with an alternative of broadly comparable purpose or value.
Any investment or funding opportunity connected with BIBI Big Pitch is subject to the decision of the relevant investor or funder and to any applicable due diligence, regulatory requirements, negotiation and separate legal documentation. BIBI is not a party to an investment merely because the introduction or pitch takes place at BIBI Expo, unless BIBI expressly agrees otherwise in writing.
16. Publicity, photography and filming
BIBI Expo is a public-facing event and photography, filming, audio recording and media coverage may take place.
If you are shortlisted or selected, BIBI may publicise your participation using your name, business or project name, approved biography, supplied images and relevant details of the initiative.
Participants may also appear incidentally or as featured participants in photographs, video or audio captured at the event. BIBI may use event recordings for legitimate event reporting, editorial, archival and promotional purposes connected with BIBI and future editions of BIBI Expo.
Where a participant is asked to take part in a dedicated promotional shoot, interview or piece of content outside ordinary event coverage, BIBI may provide additional information or obtain a separate release where appropriate. Any privacy or accessibility concern should be raised with BIBI as early as possible so that reasonable steps can be considered.
17. Data protection
BIBI will process personal data in accordance with applicable UK data-protection law and the BIBI Privacy Policy. Depending on the initiative, this may include processing information to administer applications, verify eligibility, carry out judging, contact participants, plan and deliver the event, manage safety and accreditation, publish selected participants, keep appropriate records and report on the initiative.
The Privacy Policy should explain the relevant lawful bases, retention periods, sharing arrangements and individual rights. Where BIBI relies on consent for a particular use, that consent may be withdrawn in accordance with the Privacy Policy, without affecting processing already carried out lawfully.
18. Confidentiality and BIBI Big Pitch
Applications should not include trade secrets or other highly confidential information unless BIBI has expressly agreed in writing to receive that material on a confidential basis.
BIBI Big Pitch participants should assume that information presented during a live or recorded pitch may be seen or heard by judges, attendees, staff, partners, media or other third parties. BIBI cannot guarantee confidentiality for information voluntarily disclosed in that setting.
Participants remain responsible for deciding what to disclose and may wish to obtain independent legal or professional advice about protecting commercially sensitive information or intellectual property before pitching.
19. Cancellation, postponement and circumstances beyond BIBI’s control
BIBI may cancel, postpone, suspend or materially modify an initiative where reasonably necessary because of circumstances outside its reasonable control or because the event cannot safely, lawfully or practicably proceed as planned.
Such circumstances may include venue closure, fire, flood, severe weather, epidemic or pandemic, war, civil unrest, terrorism, government or regulatory action, transport disruption, labour disputes, major technology failure, supplier failure or other comparable events.
Where this happens, BIBI will use reasonable efforts to communicate material changes and consider practicable alternatives. Nothing in this clause affects any rights that cannot lawfully be excluded.
20. Liability
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.
Subject to the paragraph above, BIBI is not responsible for losses that were not reasonably foreseeable when these Terms were agreed, or for losses caused by a participant’s own breach, acts or omissions, or by circumstances outside BIBI’s reasonable control.
Where a participant enters or participates wholly or mainly for purposes connected with their trade, business, craft or profession, BIBI will not be liable for indirect or consequential loss, loss of profit, loss of business, loss of anticipated savings or loss of business opportunity arising from the initiative, except where the law does not permit such exclusion.
BIBI does not accept responsibility for independent decisions or acts of judges, investors, funders, media organisations, venue operators or other third parties, except to the extent that BIBI is legally responsible for them.
Nothing in these Terms affects any statutory rights a participant may have as a consumer where those rights apply.
21. Website and technical issues
BIBI will take reasonable steps to keep its application processes available and functional but cannot guarantee uninterrupted access or error-free transmission. If a material technical problem with a BIBI-controlled application system prevents an on-time submission, BIBI may, acting reasonably, permit an alternative submission method or extension.
22. Changes to these Terms
BIBI may update these Terms where reasonably necessary for legal, regulatory, safety, operational or event-management reasons. BIBI will not use a change to retrospectively remove a material benefit already awarded without a legitimate reason.
The latest version will be made available on bibiexpo.com or otherwise communicated to affected participants. Material changes affecting an existing application or selected participant will be brought to their attention where reasonably practicable.
23. Complaints and queries
Questions about these Terms or the administration of an initiative may be sent to hello@bibiexpo.com. If you believe an initiative has not been administered in accordance with its published rules, please provide enough information for BIBI to review the concern.
24. Severance
If any provision of these Terms is found to be invalid, unlawful or unenforceable, the remaining provisions will continue in effect.
25. Third-party rights
Unless these Terms expressly state otherwise, no person who is not a party to these Terms has a right to enforce them under the Contracts (Rights of Third Parties) Act 1999.
26. Governing law and jurisdiction
These Terms are governed by the law of England and Wales.
If you are participating as a business, the courts of England and Wales will have exclusive jurisdiction over disputes arising from these Terms. If you are participating as a consumer and applicable law gives you the right to bring proceedings in another part of the United Kingdom, nothing in these Terms removes that right.
